Quarantine Procedures at Dormitories for International Students

  1. Confirm whether you are eligible to live in the dormitory by an email from the International Affairs Department.
    Note

    ・Only those who will enter Japan from April onwards and prospective residents of Kuwanoki Dormitory, Fukui Dormitory, and International House are allowed to quarantine at the  dormitory.
    Those who placed at International Student Shared House is not allowed to use dorm as a quarantine place because of sharing the unit with other share mates.
    ・Prospective residents of university leased apartments are not allowed to quarantine in the university leased apartment or the dormitory.

  2. Check details of quarantine at the dormitory and consider the place to stay.

    Note

    ・All applicants must apply for the Dormitory Quarantine package (17,000 yen). Be sure to check the contents of this package as there are restrictions on the meals and activities.
    ・Move to the dormitory in the shortest possible distance within 24 hours after quarantine inspection at the arrival airport.
    ・Dormitory fees will be charged.

  3. Prepare “Application and Pledge for Quarantine at OU Dormitory”.

  4. Select the university dormitory on AMARYS as your quarantine place.

  5. Complete the upload of the “Application and Pledge for Quarantine at OU Dormitory” form as a PDF on AMARYS.

    Check!

    ・Obtain the approval signature of your supervisor and complete the upload at least 5 days prior to your arrival in Japan.
    Applications or changes made less than 5 days prior to your arrival will not be accepted for any reason, and all fees for changes must be paid by the applicant.
    ・The file should be in PDF format with your alphabetical name at the beginning of the title.

    ・You will only be contacted by the International Affairs Department via email if there is a problem with your documentation or housing arrangements.
    ・If there are no problems, you will not receive an application completion email about your quarantine in the dormitory.

  6. Apply for the Dormitory Quarantine package.

    Check!

    ・Applyhere.
    ・Complete the application at least 5 days prior to your arrival in Japan. Applications made after that time, cancellations or changes cannot be made.
    Failure to apply by the deadline will be considered a violation of the pledge and permission to move into the dormitory after the quarantine period will be revoked.
    ・Even if you do not use the meals and daily necessities provided, you cannot cancel or refund this package. This includes cases where the quarantine period is shortened due to PCR testingduring the period.

  7. Move to the dormitory in the shortest possible distance within 24 hours after quarantine inspection at the arrival airport.

    Note

    Those who do not arrive within 24 hours and within the dormitory check-in hours, even for reasons such as flight delays, will not be allowed to quarantine at the dormitory.

  8. Check in during the dormitory check-in hours.

    ・Upon check-in, we will check your passport. 
    Daily necessities will be placed in your room.
    Bedding-set can be purchased when moving in. Please ask the dormitory manager when check in. Advance reservations are not accepted.

  9. Quarantine in your room during the period designated by the Japanese government.


    Check!

    ・Must strictly stay in your private room and not strictly refrain from walking around even within the building.
    ・Shared spaces/public spaces of the dorm (e.g. laundry, lounge) must not be used. 
    Three daily meals are delivered to the front of each room twice a day.
    ・Please leave your finished lunch and water waste outside the door as it will be collected. All other trash will not be collected.
    ・Okayama University does not arrange for PCR testing during the quarantine period.
    ・In case of a breach of the covenant / against the regulation, Okayama University will have a right to terminate your permission as a residence of University Dormitory and need to leave the dormitory after your quarantine period.

  10. Pay for the Dormitory Quarantine package and other fees after the quarantine period. 

Basic Information

For those who need to quarantine own place will be allowed to quarantine at the dormitory, subject to strict compliance with the following conditions.

  1. The applicant must be entering Japan from April onwards.
  2. The applicant must be a prospective resident of Kuwanoki Dormitory, Fukui Dormitory or International House.
    *Those who placed at International Student Shared House is not allowed to use dorm as a quarantine place because of sharing the unit with other share mates.
  3. Be able to move within 24 hours of the quarantine inspection and move into the dormitory during the reception hours specified by the dormitory office.
  4. Must strictly stay in their private rooms and not strictly refrain from walking around even within the building.
    Shared spaces/public space of the dorm (e.g. laundry) must not be used.
  5. Must apply for the Dormitory Quarantine package (3 box meal/bread and water per day for 8 days,thermometer, daily necessities) (JPY17,000).
    Halal and Lacto-Ovo-Vegetarian (includes plant-based products, eggs, and dairy) meals are available. Vegan and individual anti-allergy meals are not available.
  6. Must understand the application procedure and complete all steps by the deadline referring to the Institute of Global Human Resource Development website at your own responsibility.
  7.  You need to have a permission from your supervisor that he/she will guide and supervise your behavior during the quarantine period in your accommodation, and in case of the emergency, your supervisor will have a responsibility.
  8. Refer to the website of the Institute of Global Human Resource Development, obtain the consent of your supervisor, and upload the “Application and Pledge for Quarantine at OU Dormitory” form to AMARYS.
  9. Select the university dormitory on AMARYS as your quarantine place, and complete the upload of the “Application and Pledge for Quarantine at OU Dormitory”form at least 5 days prior to your arrival in Japan.
    Applications or changes made less than 5 days prior to your arrival will not be accepted for any reason, and all fees for changes must be paid by the applicant.
  10.  You need to AGREE that, in case of a breach of the covenant / against the regulation, Okayama University will have a right to terminate your permission as a residence of University Dormitory and need to leave the dormitory after your quarantine period.

Dormitory Quarantine Package

Please apply above by yourself or your supervisor.

・This is mandatory for all applicants.
・Please complete the application at least 5 days prior to your arrival in Japan. Applications made after that time, cancellations or changes cannot be made.
Failure to apply by the deadline will be considered a violation of the pledge and permission to move into the dormitory after the quarantine period will be revoked.

・Even if you do not use the meals and daily necessities provided, you cannot cancel or refund this package. This includes cases where the quarantine period is shortened due to PCR testing during the period.
・The fee 17,000 yen is the responsibility of the applicant.

Daily Necessities

The following items are available in the room as daily necessities.
You cannot go out for shopping during your quarantine period at the dormitory. Also, you will not be able to receive your purchases via the Internet.
If you need something, please prepare it in advance and bring them with you.

  • Electronic thermometer *1
  • Mask *1
  • Toilet paper *4 rolls
  • Tissue paper *200 sheets, 2 boxes
  • Shampoo, body soap, hand soap, toothbrush, toothpaste
  • Face towel *2
  • Bath towel *1
  • Garbage bag *10
  • Paper cup *pack of 30
  • 2L bottles of water *3 (in addition to this, a 500ml bottle of water will be provided at lunch and dinner)

Meals

Three daily meals are delivered to the front of each room twice a day.
Please leave your finished lunch and water waste outside the door as it will be collected. All other trash will not be collected.
Also, if you do not receive your meal and it is left at the door for the next delivery, it will be collected, so please pick it up promptly upon delivery.

Breakfast: brought with dinner

Halal and Lacto-Ovo-Vegetarian meals are available for lunch and dinner.

Dormitory Reception Hours

Kuwanoki Dormitory

  • Monday to Friday 9:00 a.m. – 7:00 p.m.
  • Saturdays, Sundays, and Holidays 11:00 a.m. – 5 p.m.

The reception hours are different from the normal hours.

International House and Fukui Dormitory

  • Monday to Friday 9:00 a.m. – 6:00 p.m.
  • Saturdays 10:00 a.m. – 3 p.m. 
  • Sundays and Holidays No reception

The reception hours are different from the normal hours.

The following payments are required for the quarantine at the dormitory and subsequent entry into the dormitory.

  • Dormitory Quarantine package fee
  • Bedding-set fee (Only those who purchase)
  • Admission fee
  • Rent
  • Utility fee

Dormitory Quarantine Package Fee

Please go to the following Okayama University Co-op directly and pay the fee within 7 days after the end of the quarantine period.

Bills will be sent to your mailbox at a later date. Please pay by bank transfer form.

Note

You are required to pay the full monthly rent even if you move into/out the dormitory in the middle of the month.
e.g. If you move in the dormitory on April 30, you would need to pay the full monthly rent for the month of April. It would not be calculated on a daily or weekly basis.


PCR Test

If you wish to take the PCR test, please book the test yourself or ask your supervisor to do so.

Note

・On the day of the PCR test, using public transport (trains, buses, taxis, etc.) is strictly prohibited. You must walk to the venue.
・No side trips are permitted or stop over for the supermarket or other shops, restaurants are not permitted.
・No cancellations or refunds can be made even if the PCR test shortens the quarantine period and you do not use the meals and daily necessities provided.
