Tutor Procedures

  1. Hired as a tutor by the international student’s academic advisor
    (Academic advisor submits the Tutor Application Form) 
  2. Tutors submit the required documents (to be submitted after the tutor is assigned) to the International Education and Student Mobility Division
  3. Conduct tutoring activities
  4. Tutors submit the required documents after completing tutoring activities to the International Education and Student Mobility Division 
  5. Payment of tutor stipend

Tutors hired in April and May: May 29, 2026 
Tutors hired in June and July: July 3, 2026
Tutors hired in August and September: September 4, 2026

Important Notes

Bank Account Registration Form

Access the Bank account registration status page on the Okayama University network and check your registration status.

  • Submission is NOT required if:
    A valid bank account is registered under “Bank Account for Travel and Honoraria (旅費・謝金等口座情報)”. 
  • Submission IS required if: 
    1. No valid bank account is registered under “Bank Account for Travel and Honoraria (旅費・謝金等口座情報)”. 
    2. A bank account is registered under “Salary Account Information” but not under “Bank Account for Travel and Honoraria (旅費・謝金等口座情報)”
    3. Your student ID number has changed due to advancing to a higher program. 
    4. You wish to change the currently registered bank account.
Note

Even if you have previously submitted your information for TA or similar employment, the registrations for salary and honoraria are separate. Please confirm that a valid bank account is registered under “Bank Account for Travel and Honoraria (旅費・謝金等口座情報)”. If the application form is not submitted by the deadline, stipend payments cannot be made.

My Number Notification Form

If you have never submitted your My Number to Okayama University, please attach one of the following documents to the My Number Notification Form and submit it. If you do not have either document 1 or 2, you must obtain a Resident Certificate (with My Number) from your city office or passport citizen service corner.

  1. Individual Number Card(both sides) 
    This is called the “My Number Card”, a plastic card with photo that requires application to obtain.
  2. Notification Card and Identification 
    The Notification Card (discontinued in 2022) must be submitted together with identification such as a student ID or driver’s license.

    *Individual Number Notification (個人番号通知書) cannot be used. 
  3. Resident certificate (with My Number)  and Identification

Required Documents (After Completing Tutor Activities) 

Tutors who conducted tutoring activities must submit the following documents by the deadline. If the documents are not submitted by the deadline, payment cannot be processed. If you did not conduct any tutoring activities, submission is not required. In this case, please notify the International Education and Student Mobility Division by email.

Tutors hired from April to July: August 3, 2026
Tutors hired from August to September: September 16, 2026
Tutors for JICA students: September 16, 2026

  • PRINT ON BOTH SIDES of one sheet of paper. Single sided printing is not accepted. 
  • Complete the form by hand using a ballpoint pen. Correction pens or pencils are not allowed.
  • Signatures from both the tutor and the student’s academic advisor are required. Please prepare these in advance.
  • If there are multiple tutors for one student, please submit the forms together to verify the activity dates.

Submission Destination

Payment is scheduled for September 25 or October 23. If you are scheduled to graduate or complete your program in September, please do not close your registered bank account.
